Nobody works on your site without the paperwork that says they can.
KnowContractor collects insurance, licences, safety records and training from each contractor, reads the expiry dates, chases renewals and holds gate approval until everything is current. Inductions and permits follow at the gate, and performance rolls into a scorecard. Your team approves who comes on site.
KnowContractor
Prequalification to site access
Built with safety and procurement teams who manage contractors every week.
Where the day goes today
Contractors arrive with a folder and a handshake. Someone chases insurance certificates by email, files them, and never looks again. Cover lapses mid-contract and nobody notices until something goes wrong. Inductions are repeated for people who have done them and skipped for people who have not. Performance is a feeling rather than a record.
From proposed contractor to a scored one, in five steps
Prequalify
The agent requests insurance, licences, safety record and competence documents from the contractor and checks what comes back.
Watch the expiries
Expiry dates are read from the documents. Renewals are chased before anything lapses.
Approve for site
Gate approval is held until everything is current. You sign off who is approved.
Induct and permit
Site-specific induction and permits are issued and verified at the gate.
Score
Audits, incidents and delivery roll into a scorecard you can act on at renewal time.
The contractor lifecycle, with your team approving each gate
Prequalification
Documents requested, collected and checked before anyone is approved.
Insurance tracking
Certificates of insurance read, expiry dates tracked, renewals chased.
Gate approval
Access held until everything is current. Nothing opens without your sign-off.
Site induction
Site-specific induction done once, verified at the gate, not repeated or skipped.
Permits
Permits to work linked to the contractor, the job and the induction.
Contractor audits
On-site checks scheduled and recorded; failed items become actions.
Scorecards
Audits, incidents and delivery rolled into one record per contractor.
Automated chasing
Missing and expiring documents chased with the contractor, escalated to you when needed.
Contractor onboarding, site access and supplier documents
KnowContractor runs contractor onboarding and management (prequalification, insurance, induction, permits and performance) and the contractor side of site access. The same document checks work for supplier onboarding with procurement.
Built for the people who let contractors on site
Site EHS and safety managers
Know every contractor on site is current, inducted and permitted.
Procurement and supplier quality
Stop chasing certificates by email. Renewals happen before anything lapses.
Plant, site and facilities managers
Approve access from a short list of what is missing, not a folder.
Directors of EHS
One view of contractor compliance and performance across sites.
The agent checks. Your team approves.
KnowContractor collects, reads and chases. No contractor is approved for site, and no permit is issued, without a person agreeing to it.
- You approve each contractor for site after the agent confirms the documents are current.
- You set what each contractor type must provide, and what blocks access.
- Permits and inductions are verified at the gate by your people.
- Every document, expiry and decision stays on the record.

Questions about KnowContractor
What documents does it collect?
Whatever you require for each contractor type: certificates of insurance, licences, safety records, training and competence, and prequalification questionnaires. You set the list.
Does the agent approve contractors on its own?
No. It confirms whether the documents are current and complete. A person approves the contractor for site.
How do contractors send their documents?
They are asked by email and reply with the files, or upload them through a link. No account or training is needed on their side.
What happens when insurance expires mid-contract?
The agent sees the expiry date in advance, chases the renewal, and flags the contractor if it is not received. You decide whether access is held.
Does it work at the gate?
Yes. Induction and permit status can be checked from a phone at the gate. Details depend on your setup.
How does it relate to KnowSafe and KnowOps?
KnowSafe runs incidents and corrective actions, including ones involving contractors. KnowOps runs visitor and facility checks; KnowContractor handles the contractor side of site access.
Can procurement use it for suppliers?
Yes. The same document collection, expiry tracking and renewal chasing work for supplier onboarding.
How long does rollout take?
Most teams start with insurance tracking for their current contractors, then add prequalification, induction and scorecards.
