Keep maintenance on schedule, even on the bad weeks.
KnowMaintain schedules your PMs, turns inspections and operator reports into work orders, follows up with technicians until the work is closed and keeps your CMMS current without retyping. Your team approves; the agent does the chasing.
KnowMaintain
Work order follow-up
Built with maintenance and reliability teams who run plants, warehouses and fleets.
Where the day goes today
Planned maintenance slips when breakdowns pile up. Technicians get pulled onto the urgent job, the PM waits another week, and the asset that was due for a service becomes the next breakdown. The CMMS is there, but updating it is the last thing anyone has time for, so work orders live on paper and in text messages, operator defect reports get lost, and nobody can say what the real backlog is. Then an auditor asks for the inspection record for a lifting hoist, and the search begins.
From a problem to a closed work order, in six steps
Capture
Technicians and operators report a problem from a phone: a photo, a voice note or a failed inspection check.
Draft the work order
The agent writes the work order against the right asset, with the history attached, and proposes a priority.
You approve and assign
Review the draft, change anything, approve it and pick the technician. Nothing is assigned without you.
Schedule the PMs
Preventive maintenance is planned by time, usage or a sensor signal, and bundled with nearby work where it makes sense.
Follow up
The agent reminds technicians, asks for completion notes and photos, and escalates anything that goes overdue.
Keep the CMMS current
Every work order, PM and completion is written to your CMMS or ERP, so the record matches reality.
Everything between the first sign of trouble and the closed work order
Report from a phone
A photo, a voice note or a tap on a failed check becomes a work order. No form to fill in.
PM scheduling
Preventive maintenance planned by time, usage, meter reading or sensor signal, with the backlog visible.
Work orders that move
Opened, assigned, reminded and escalated until closed. Overdue work does not wait for a weekly meeting.
Inspections that act
A failed inspection check opens the right work order automatically, with the check attached as evidence.
Alerts to tasks
Readings and alerts from sensors or machines become the right maintenance task, not an email nobody reads.
Asset register
One record per asset with its PMs, work orders, inspections, calibrations and statutory checks.
Statutory and calibration schedules
Lifting equipment, pressure systems and calibrated instruments tracked with due dates and certificates.
CMMS kept current
Work flows to your CMMS or ERP without retyping, so your system of record stays the system of record.
Backlog and reliability view
PM compliance, overdue work, repeat failures and downtime by asset, ready for the morning meeting.
Maintenance is where other agents send their findings
A failed checklist in KnowOps, a defect from a KnowFleet walkaround, a camera event from KnowLive or an out-of-tolerance instrument from KnowQuality all land in KnowMaintain as a work order, with the evidence attached and the loop closed back to the source.
Built for the people who keep assets running
Maintenance and reliability managers
Who need PM compliance up, unplanned downtime down and a backlog they can trust.
Plant and site managers
Tired of firefighting breakdowns and hearing about slipped PMs after the fact.
Fleet maintenance managers
Turning driver defects into shop work the same day and keeping every unit's PMs on schedule.
Operations leaders across sites
Who want every site to run maintenance the same way, with the numbers arriving on time.
Your rules, your approval
KnowMaintain prepares and proposes. People decide. No work order is assigned, no PM rescheduled and no record changed in your CMMS without your team's rules or approval.
- Drafts, not decisions. Work orders arrive as proposals with the evidence and history attached.
- You set the rules. Which assets, which priorities and which approvals are needed before work is assigned.
- Escalation you define. Choose what counts as overdue and who hears about it.
- Full history. Every change, note and approval is kept against the asset for audits.
Connects to what you already run
Your CMMS or ERP
Work orders, PMs and completions written back by API, so the system of record stays current
Sensors and IoT
Readings and alerts from machines, meters and condition monitoring become maintenance tasks
Mobile
Technicians and operators report, receive and close work from a phone, with photos and voice notes
Other Knowella agents
KnowOps checklists, KnowFleet walkarounds, KnowLive camera events and KnowQuality calibrations feed work orders in and get the result back
Questions about KnowMaintain
We already have a CMMS. Do we need this?
KnowMaintain is not a replacement for your CMMS. It is the agent that keeps it current: capturing work from the floor, scheduling PMs, chasing technicians and writing the result back so the record matches reality.
Who creates the work orders?
Anyone who sees the problem. An operator sends a photo or voice note from a phone, a failed inspection check does it automatically, or a sensor alert does. The agent drafts the work order and your team approves it.
Can the agent assign work on its own?
Only if you set a rule for it. By default it proposes a priority and a technician, and a person approves before anything is assigned.
What happens when a PM is about to slip?
The agent flags it before the due date, suggests a slot, bundles it with nearby work where possible and escalates to whoever you choose if it goes overdue.
How does it work with KnowFleet and KnowOps?
They send work in. A defect from a KnowFleet walkaround or a failed KnowOps checklist becomes a KnowMaintain work order with the evidence attached, and the closure flows back to where it started.
Does it work for statutory inspections and calibration?
Yes. Lifting equipment, pressure systems, refrigeration and calibrated instruments can each have schedules, certificates and out-of-tolerance actions tracked against the asset.
Does it work offline in the plant or in the yard?
Technicians capture work on a phone and it syncs when they are back in coverage. Details vary by workspace setup.
How does it help in an audit?
Every PM, inspection, work order and approval is kept against the asset with dates and evidence, so you can show the history for any piece of equipment without digging through paper.
