Set out-of-service rules and connect telematics

Decide which defects hold a unit, who can release it, how far ahead expiries are flagged and where hours of service come from.

KnowFleet applies your rules. You decide which defects take a unit off the road, who can put it back, and how early the agent warns about an expiring document.
1

Set your out-of-service rules

Choose which defect types hold a unit automatically (for example brakes, lights, tyres or steering under your policy) and which are logged and repaired without a hold.

2

Decide who releases a held unit

Pick who can clear a unit after repair: the shop lead, the safety manager or both. Nothing goes back on the road without that approval.

3

Set expiry windows

Decide how far ahead the agent warns about licences, medical cards, permits and inspections, and who is told: the driver, the safety manager or both.

4

Connect telematics and ELD

Ask your admin to connect your telematics or ELD so hours of service, mileage and vehicle data sit next to the driver file and the inspection. Details vary by system and workspace setup.

5

Connect maintenance

Choose where repair orders go: KnowMaintain or your existing shop system. Closure is written back so the driver sees when the unit is cleared.

Run tomorrow's walkarounds through it.

Bring a few units and driver files, and we will show you how defects get routed, units get held and expiries get caught early.
