Inbox is where client emails arrive in KnowRFP. Forward an RFP to your intake address and KnowRFP analyzes its attachments automatically — deciding whether they start a new project or belong to an existing one — then waits for you to confirm. This guide follows the walkthrough above.

1 · Open Inbox

Click Inbox in the sidebar, under Workspace. Client emails arrive here; new mail is auto-analyzed (new vs existing project) and you confirm each action.

2 · Read an email

Each email shows its subject, a status tag such as Ingested, who sent it and when — for example "request for quote" from sid@knowella.com on Sep 25, 9:21 PM.

3 · Check its attachments

The email's attachments are listed underneath, such as a CSV of lanes. KnowRFP analyzes them automatically.

4 · Confirm the action

New files start a new project or attach to an existing one. Once the action is confirmed, a green bar shows where the file went — for example "Added to Sid 1".

  • Undo — Reverse the action if the file went to the wrong place.
  • Open project — Go straight to the project the file was added to.

5 · Recent activity

The Recent activity panel on the right lists every action confirmed from the inbox — such as "1 file(s) from sid@knowella.com → new project Sid 1" — with when it happened. Click Open to go to the project.

6 · Refresh

Click Refresh at the top right to check for new mail.

7 · Find your intake address

Click Email setup. The Email Setup panel shows your Intake address — for example trademark@knowrfp.knowella.com — marked Active. It's auto-generated for your organization.

8 · Forward client emails

Click Copy to copy the address, then forward client RFP emails to it. Attachments are analyzed automatically and appear in your Inbox for you to confirm.

9 · Search addresses

If you have more than one address, search by email or use Filter by to narrow the list.

Send us your hardest RFP.

We'll run it through KnowRFP and you can compare the result with what your team sent.
