What is an equipment loan record?
An equipment loan record is the KnowOps record used when equipment is lent to, or borrowed from, another site, a contractor or a supplier, with agreed terms and condition. It's built against ISO 55001 cl.8.1 and sits inside the Asset and Equipment Control programme.
When is an equipment loan record raised?
It's raised at the point the loan happens, not written up afterwards from memory. The asset owner opens the record before the item leaves, or as it arrives if it's inbound, and owns it through to return.
What does 'Direction' capture on this record?
Direction states whether the equipment is going out to a counterparty (Lending out) or coming in from one (Borrowing in). It isn't scored — it's a routing fact that determines whose condition checks, insurance position and return obligations apply, not a measure of good or bad practice.
Scope
When is an equipment loan record required?
This record covers a single loan, in either direction, between your site and a named counterparty. It isn't the place to record an internal transfer, a stores issue to a person, or who holds a key.
Use this template when
- Equipment is being sent out to, or received in from, another site, a contractor or a supplier under agreed terms
- A loan is about to leave and needs its condition, certification and insurance position confirmed before it goes
- An item already on loan needs its location, maintenance responsibility or return date tracked while it's away
- A loan has come back and needs its returned condition checked against what left, with any damage or loss captured
- A linked record needs this one to exist: Contractor Equipment Verification for a contractor counterparty, or the Asset Register for a registered item
Do not use it for
- Asset Movement and Transfer, which records an asset moving between areas, sites or owners, with condition at both ends — a change of custody within the organisation, not a loan to an outside party.
- Tool Crib Issue and Return, which issues a tool or instrument to a named person for a shift or task — a stores transaction, not a cross-organisation loan.
- Key and Access Device Register, which holds every key, fob and access device, who has it and what it opens — access control, not equipment control.
- Temporary Equipment Approval, which approves bringing in a piece of equipment temporarily rather than tracking the loan of an existing asset.
- Anything outside KnowOps, which belongs in the workspace that owns that process

What it does not cover
- Inspection Certificates Provided Or Obtained, which is left blank because the counterparty didn't supply one and nobody chased it before the equipment moved.
- Statutory Examination In Date, which lapses partway through the loan with no re-check scheduled before Due Back.
- Written Agreement In Place, which is marked No while Status still moves to In progress.
- Damage Reporting Route Agreed, which is skipped because both sides assumed the other would raise it if something went wrong.

Equipment Loan Record requirements by country
ISO 55001 is jurisdiction-neutral, but a loan between two organisations creates a legal relationship over the equipment itself, and that relationship is read differently depending on where the loan sits.
Common law of bailment
The legal relationship created whenever possession of goods passes without a transfer of ownership
A UK bailee owes a duty of reasonable care proportionate to the loan — gratuitous or for reward — and Written Agreement In Place is the record's way of pinning down what 'reasonable care' was actually agreed to mean before a dispute over damage or loss forces the question.
State bailment law and UCC Article 2A on leases of goods
Bailment principles apply by default; Article 2A governs where the arrangement is structured as a lease
Whether a US loan is treated as a simple bailment or a lease under Article 2A changes who bears risk of loss in transit, which is exactly what Value and Written Agreement In Place are trying to fix before the equipment leaves.

Certification-scheme expectation for control of assets outside direct custody
An asset management system certified to ISO 55001 is expected to demonstrate control over loaned and borrowed equipment specifically, not just owned equipment in normal use, which is what this record exists to evidence at audit.
How to complete it
How to complete an equipment loan record, step by step
The fields are mostly Yes/No, but four judgement calls decide whether this record is a real control on a loan or a form filed for the sake of it.
Direction states Lending out or Borrowing in, but nothing in the form forces different fields to be completed depending on which way the equipment is moving. Whether the reviewer treats a borrowed item's certification as your responsibility to verify, or waves it through because it isn't 'yours', is a judgement the record doesn't make for them.
Inspection Certificates Provided Or Obtained can be marked Yes on the strength of a verbal assurance rather than a document in hand. Whether the certificate itself was seen, or just promised, is the difference between this record meaning something and it meaning nothing — and it's exactly the gap the record's own warning about borrowed history is describing.
Due Back exists to be checked against Returned, but nothing stops a loan running past its due date with no escalation until somebody happens to notice. Whether an overdue loan is actively chased or quietly rolled forward is a matter of who's watching, not what the field records.
Damage Or Loss feeds Action Required, but Action Required being Yes doesn't guarantee a CAPA ID gets raised against it. Whether damage discovered on return closes with an actual corrective action, or just sits as a Yes with nothing behind it, decides whether the loan's outcome data can be trusted.

Case in point
Case in point: the lifting beam that arrived without its paperwork
A site borrowed a lifting beam from a neighbouring site to cover a shutdown, and the loan record was raised the same afternoon: Direction set to Borrowing In, Counterparty and Out Date entered, Due Back set for the following week. Inspection Certificates Provided Or Obtained was marked Yes because the beam had clearly been used before and somebody assumed the paperwork would follow with it.
It didn't. The beam went straight into a lift, and it was three days into the loan — with the beam already used on two further lifts — before anyone asked to actually see the examination certificate, at which point it turned out to have lapsed six weeks earlier at the lending site. Under this template, Statutory Examination In Date exists precisely to stop equipment moving on the strength of an assumption; the failure wasn't the missing certificate, it was the three days nobody asked for it before the beam went to work.
