The Privacy & Compliance page explains how your health information is collected, used, protected, and retained, and it's where you record the consent KnowHealth needs. The walkthrough reads each card in turn, then turns on the consent switches and saves; the steps follow the same order.

1 · Find the page

In the sidebar's Management section, open Privacy & Consent — it sits between Billing & Plans and Notifications. The page heading reads Privacy & Compliance: "How your health information is collected, used, protected, and retained."

2 · Note the Action Required badge

Until your consent is recorded, an Action Required badge shows at the top right of the page.

3 · Read the Privacy Policy

KnowHealth processes protected health information (PHI) solely to deliver workplace wellness insights to you and your organization. Your data is never sold, access is role-restricted, and every access to PHI is audited under the HIPAA Security Rule.

4 · Check your Consent Status

The Consent Status card sums up where you stand.

  • Overall status — Action Required while consent is outstanding.
  • Last consent updated — "Not yet recorded" until you save your choices.
  • Privacy policy — Pending until you accept it.
  • Data usage — Pending until you decide.

5 · Camera & biometric consent

Wellness scans use your device camera to analyze facial blood-flow (rPPG) and derive vitals such as heart rate, respiration, and stress. Raw video is never stored or transmitted — only the computed vitals are saved.

6 · Data usage

Your vitals contribute to your personal wellness report and to anonymized, aggregated workforce health analytics. Individual records are visible only to you and authorized administrators in your organization.

7 · Data retention

Health records and audit logs are retained for 7 years (HIPAA §164.316(b)(2) record retention), then securely purged. To request a copy or deletion of your data, contact your organization administrator.

8 · Give your consent

Turn on the switches for what you agree to.

  • I have read and accept the Privacy Policy — Required to use wellness features.
  • Allow camera-based wellness scans — You can revoke this at any time.
  • Allow use of my vitals for wellness analytics — Aggregated and de-identified for reporting.

9 · Save your preferences

Click Save Preferences at the bottom of the page to record your choices.
