What this is
What is Working in Cold Environments Training?
What is Working in Cold Environments Training?
It is the KnowTrain record confirming that anyone assigned to a chill or freezer area has been taught clothing and layering, work-rest cycles, symptom recognition, freezer entry rules and the buddy system. It sits under ISO 45001 cl.7.2 as evidence of competence, and it is a singleton — one live record per workspace rather than one per session.
What counts as a cold environment for this training?
Any chill or freezer area where dexterity or core temperature is at risk from prolonged exposure, not just walk-in freezers. The template covers clothing and work-rest cycles rather than a fixed temperature threshold, because the physiological risk is about exposure time and task, not one number on a thermometer.
What is the buddy system this training refers to?
It is the practice of pairing workers in cold or freezer areas so someone else is watching for slowed movement, confusion or dropped items — the early signs of cold stress a person rarely notices in themselves. The Watching Colleagues Explained field exists because this is a taught skill, not a passive arrangement.
Scope
When is a working in cold environments training required?
This training is one step in a larger programme. Using it for hazards that belong to a neighbouring template produces a register that looks complete but can't actually be reported against.
Use this template when
- Anyone is newly assigned to chill or freezer area work and hasn't completed this yet
- A worker's competency is due to expire and Refresher Due has come round
- The site's Thermal assessment or Cold store rules records depend on this training already existing
- You need to confirm training happened before the work started, not on the day or after
- A new site's cold-store register is being set up and this is one of its required entries
Do not use it for
- Ammonia Awareness Training, which covers refrigerant leak hazards and alarm response, not cold-stress symptoms in a person.
- Lone Working Training, which covers check-in schedules and isolation risk, not the physiology of cold exposure.
- Confined Space Training, which covers entry procedures, testing and rescue for confined spaces, not open chill or freezer areas.
- Hazard Communication Training, which covers chemical labels and safety data sheets, unrelated to cold exposure.
- Anything outside KnowTrain, which belongs in the workspace that owns that process.
Compliance mapping
Which ISO 45001 cl.7.2 requirements does this satisfy?
ISO 45001 cl.7.2 asks for competence to be determined, delivered, evidenced and retained — the six sections here map onto each of those requirements rather than existing for their own sake.
| Clause | Requirement | Where it lands |
|---|---|---|
| ISO 45001 cl.7.2(a) | Determine the competence needed for people working in cold or freezer areas | Header |
| ISO 45001 cl.7.2(a) | Cover the specific hazards of the role: clothing, work-rest cycles, symptoms, freezer entry and rescue | Content covered |
| ISO 45001 cl.7.2(c) | Deliver training in a way that is actually effective, not just scheduled | Delivery quality |
| ISO 45001 cl.7.2(d) | Retain documented evidence of who attended and participated | Attendance |
| ISO 45001 cl.7.2(b) | Confirm competence was demonstrated, not merely presented | Knowledge check |
| ISO 45001 cl.7.2(c) | Evaluate effectiveness and act on any gap found | Outcome |
What it does not cover
- Freezer Door Release Demonstrated, ticked Yes without anyone actually operating the release under supervision.
- Watching Colleagues Explained, marked Yes when the buddy system was described but nobody was asked how they'd actually recognise a struggling colleague.
- Attendees Passed, recorded high while Retraining Required For Any is marked Yes for the same cohort — the two numbers should not both look good.
- Delivered Before The Work Started, marked Same day or After for a crew that was already rostered into the freezer that shift.
- Competency Matrix Updated, left No while Refresher Due is populated as though the matrix will update itself.
Global
Working in Cold Environments Training requirements by country
ISO 45001 sets the competence requirement everywhere it's adopted, but what a regulator expects to see behind a cold-stress record still varies by jurisdiction.
Workplace (Health, Safety and Welfare) Regulations 1992, reg. 7
reasonable working temperature, assessed and controlled rather than fixed by number
HSE does not set a minimum temperature for chill or freezer work; it expects a documented assessment of exposure time, clothing and rest breaks, which is exactly what this record is asked to hold.
OSHA General Duty Clause, 29 U.S.C. §654(a)(1)
no cold-stress-specific standard, but a recognised-hazard obligation
employers are expected to control cold stress as a known hazard using NIOSH-published guidance as the reference practice; a training record with no demonstrated freezer-door or symptom check is weak evidence of that control.
ISO 45001 cl.7.2
competence must be evidenced, not just delivered
certification audits look for proof that training changed capability — attendance and a tick are not enough on their own.
How to complete it
How to complete a working in cold environments training, step by step
Filling in every field does not make the record defensible. What decides that is a handful of judgement calls the area lead has to get right.
Freezer Door Release Demonstrated and Trapped Person Procedure Explained should reflect someone physically operating the release and walking the escape route, not a description read from a slide.
Watching Colleagues Explained is only meaningful evidence if the session included asking attendees to describe what a struggling colleague looks like, not just stating that buddies exist.
If any attendee needs retraining, Action Required has no honest reading other than Yes — a No here alongside a Yes there is the clearest sign the record was closed rather than resolved.
This is one live record per workspace. Refresher Due and Competency Matrix Updated are what keep it current — logging a fresh instance every time someone works a cold shift defeats the point of the design.
What auditors find
Most common working in cold environments training findings
These are the patterns worth pulling a sample against before trusting the register.
| Finding | Clause | What fixes it |
|---|---|---|
| Freezer Door Release Demonstrated is Yes on every record with no variation across trainers or sites | ISO 45001 cl.7.2(c) | Ask the trainer to name who operated the release and confirm it in the record, not just tick the outcome. |
| Retraining Required For Any is Yes but Attendees Passed still matches the full headcount | ISO 45001 cl.7.2(b) | Cross-check Attendees Passed against individual Understanding Confirmed answers before the record is closed. |
| Delivered Before The Work Started is Same day or After for a crew already rostered into the freezer | ISO 45001 cl.7.2(a) | Block the roster entry until this training shows Complete, not the other way round. |
| Competency Matrix Updated is No while Refresher Due still carries a forward date | ISO 45001 cl.7.2(d) | Make Matrix ID mandatory whenever Competency Matrix Updated is Yes, and chase the No cases on a fixed schedule. |
| Site Specific Examples Used is Generic only across sites with visibly different freezer layouts | ISO 45001 cl.7.2(c) | Require the trainer to name the site's own door release and escape route in the record, not just confirm the topic was covered. |
| Action Required is No immediately following a Retraining Required For Any of Yes on the same record | ISO 45001 cl.7.2(b) | Force Action Required to Yes whenever any attendee needs retraining rather than leaving it to discretion. |
Case in point
Case in point: the glove came off before the hand went numb
A picker in a blast freezer kept working through a delivery surge, hands stiffening enough that a glove slipped off unnoticed. He didn't feel cold enough to stop — cold stress dulls the sensation before it dulls the judgement to act on it. His buddy noticed the fumbling grip and the delayed response to a question, and pulled him out before frostbite set in.
None of that shows up if Watching Colleagues Explained is ticked from a slide and Attended Full Session is the only thing anyone checks. The record only earns its score if the session actually taught someone what fumbling and slow response look like from the outside, and the buddy pairing was live on the floor rather than a name on the sheet.

The form is the easy part. Keeping the register current, catching the Retraining-versus-Action-Required mismatch, and holding the evidence together is the work that actually slips.
Holds the Working in Cold Environments Training register against every site, flags Refresher Due dates before they lapse, and keeps the Thermal assessment and Cold store rules links intact.
Carries the cold-store risk assessment this training is evidence against, and is where a Retraining Required For Any of Yes should actually trigger a follow-up action, not just a note on this record.
Tracks any reported cold-stress symptoms or near misses raised through the buddy system, giving the training record something real to be checked against beyond a Yes tick.

Coordinates the crew, rolls completion and exceptions into one view, and holds every write for your approval before it touches a record.
This template lives in KnowTrain — training and credentials. Induction, competency, toolbox talks, refreshers and expiry tracking.

Working in Cold Environments Training definitions and key terms
- Cold stress
- The physiological strain of working in low temperatures long enough to impair judgement, dexterity and reaction time — often before the person feels dangerously cold.
- Buddy system
- Pairing workers in cold or freezer areas so each is watching the other for early signs of impairment, since self-reporting is unreliable once cold stress sets in.
- Work-rest cycle
- A scheduled pattern of time in the cold followed by mandatory warm-up time, sized to the temperature and the task rather than left to individual judgement.
- Competency matrix
- The register mapping each worker to the training they've completed and what's still due, updated from records like this one rather than tracked separately.
- Refresher training
- A scheduled repeat of the training before competency lapses, distinct from retraining, which responds to a demonstrated gap found during a session.
FAQ
Frequently asked questions about working in cold environments training
What is the Working in Cold Environments Training template based on?+
It is built against ISO 45001 cl.7.2, the clause requiring organisations to determine, deliver, evidence and retain proof of competence for anyone whose work affects health and safety performance.
What sections does the template contain?+
Six: Header, Content covered, Delivery quality, Attendance, Knowledge check and Outcome. Attendance repeats for each person in the session; the rest hold one set of answers per record.
How many of these records should a workspace hold?+
One. This is a singleton — a live record set up once and kept current through Refresher Due and Competency Matrix Updated, rather than a new instance raised for every training session.
How is it scored, and what does the score mean?+
Scoring is the knowledge check score, where high is good. It rolls up Content covered, Delivery quality, Attendance and Knowledge check answers so a low score points at a specific weak section rather than a vague failing grade.
What happens if an attendee needs retraining?+
Retraining Required For Any should carry through to Action Required on the Outcome section — a Yes on one with a No on the other is the clearest sign the record was closed rather than resolved.
Can the template be changed?+
Yes. Every field, option, score and conditional rule is editable, including the links to Thermal assessment and Cold store rules. Most teams install it as it is, run it for a cycle, then adjust.
