Add, edit and delete carriers

Set up a new carrier in three steps, change an existing carrier's profile, and delete a carrier you no longer use.

Every carrier KnowDoc reads has a profile on the Carriers page. This guide covers the three things you do to a profile: add a new carrier through a three-step setup, edit an existing carrier when something about its invoices or emails changes, and delete a carrier you no longer work with.
In this article

Step 1 — Setup: name, billing email and SOP

Click New Carrier on the Carriers page. Enter the Carrier Name (required) and Their Billing Email(s); use Add another email if they bill from more than one address. Then upload their SOP (PDF or image) and the AI reads it and sets up the profile for you. No SOP? Click Set Up Profile Manually.

Check the Profile Draft

The Profile Draft is the profile KnowDoc will use. Check each part, change what's wrong, then click Looks good — continue. Re-generate builds the draft again.

  • Name on Invoices — The carrier's name as it's printed on their bills.
  • Where is the Load Number? — The field that holds the load number, e.g. BOL Number or Load Number.
  • Charge Mappings — How each charge on the bill maps to a PPU code, e.g. Fuel Surcharge → FSC. Use Add charge mapping for more.
  • Special Rules / Instructions for the AI — Anything unusual, e.g. "Skip invoices starting with C00".

Step 2 — Sample Document

Upload one real freight bill from this carrier, then fill in the correct values. This teaches the AI exactly what to extract, and you can annotate the page to mark where each field appears. Click Continue with sample, or Skip for now and add one later from the carrier's profile.

Step 3 — Test & Confirm

Upload a different freight bill and see what the AI extracts with the current profile. If something looks off, describe the issue and the profile updates. Click Save Carrier when you're happy, or Skip test & save carrier to finish now. The new carrier is added to the list.

Edit a carrier

Open the ⋯ menu on a carrier's row and choose Edit. The profile page shows everything about that carrier; change what you need and click Save Changes.

  • Billing Email(s) — Use % as a wildcard: %@ffex.net matches any address at ffex.net.
  • Load Number and Freight Bill # Field — Where KnowDoc finds each number on this carrier's invoices.
  • EDI carrier — When on, bills from this carrier land in Flagged with a disclaimer. Reviewers can still process them manually.
  • Charge Mappings — Map the carrier's charge names to your PPU codes.
  • Sample Documents — Add Sample uploads a real bill to improve extraction accuracy.

Fields Being Extracted and Test Extraction

Further down the profile, Fields Being Extracted lists the 14 standard fields read from every invoice (invoice number, BOL, load and PO numbers, totals, dates, signature, and freight, fuel, lumper and detention charges). Custom fields are added when you annotate a sample. Use Test Extraction to upload any invoice from the carrier and check the result before saving.

Delete a carrier

Open the ⋯ menu on the row and choose Delete. The confirmation warns that this permanently deletes the carrier and all its sample documents, and it can't be undone. Click Delete to confirm or Cancel to keep it. Emails from that carrier will no longer match a profile.
