Turn carrier cost into the customer price: set the pricing basis, rules and adjustments, guardrails, region and fuel billing, rate source blend and custom IF / THEN rules, then save the strategy.

A strategy is how KnowRFP turns carrier cost into the price your customer sees: how it marks cost up, which surcharges apply, where a human has to check, how fuel is billed and which exceptions override the rest. The Strategy Builder is where you set that up once and save it, instead of repeating it on every project. This guide follows the walkthrough above.

1 · Open Strategy

Click Strategy in the sidebar, under Workspace. The Strategy Builder opens on the strategy that's currently selected — a Default tag at the top right shows when it's your default.

2 · Pick or start a strategy

Open the strategy list (for example "Default pricing") to switch to another saved strategy, or search for one. Click New, or + New strategy at the bottom of the list, to start a fresh one, or Copy to duplicate the current one. The count beside them shows how many you have saved, such as "4 saved".

3 · Tell the AI how to price

Type how you want to price in plain English in the bar under the strategy list — for example "Add 5% on lanes over 500 miles and never quote below a 12% margin" — then click Build. The AI sets the controls below for the strategy you're editing; check them before you save.

4 · Pricing basis

Choose how cost becomes the quoted price.

  • Margin % or Flat markup — Mark cost up by a percentage, or add a fixed dollar amount.
  • Default margin — The margin applied to every lane, such as 15%.
  • Minimum charge — The lowest price you'll quote, such as $85.
  • Round prices — Round each quote to the nearest $5.

5 · Rules & adjustments

Switch on extra margin or surcharges by lane trait, and set each one's amount.

  • Long-haul premium — Extra margin on lanes over 500 miles.
  • Reefer surcharge — A dollar amount for refrigerated equipment.
  • Weekend pickup — A dollar amount for Saturday or Sunday pickup.
  • Volume discount — A break for high-count lanes.
  • Pick cheapest carrier — Award each lane its lowest-cost contract.
  • Prefer incumbent — Keep the current carrier if it's within range.

6 · Guardrails & review

Set safety limits and decide when a human checks.

  • Scope — Which customers the strategy applies to, such as All customers.
  • Min-margin floor — Never quote below this margin.
  • Benchmark cap — Flag a price that exceeds the market by more than this.
  • Send to manual review when — A lane comes back unpriced ($0), margin falls below the floor, or rules conflict on a lane.
  • Require approval over — Quotes above this value need approval, such as $5,000.

7 · Region & geography

Switch it on to adjust price by freight region — cover hard-to-service areas and ease off dense backhaul lanes. Apply it by origin, destination or lane, set a percentage per region, add your own regions or specific lanes, and switch on cross-border (Canada / Mexico), remote / rural and metro congestion adjustments.

8 · Customer fuel

The carrier fuel you pay always comes from the TMS rating. Choose how the customer is billed for fuel — the gap between the two is your fuel margin.

  • Pass-through — Bill the carrier's fuel as-is.
  • Markup % — Carrier fuel plus a margin %.
  • Flat % / c-mi — Your own rule on linehaul or miles.
  • Fixed $ — A flat fuel dollar amount per shipment.
  • FSC table — A real TMS fuel table, such as National FSC · LTL, at this week's diesel price. Diesel is auto-filled from the DOE — override it for a what-if.
  • Diesel index — Your own % per diesel step over a peg.

9 · Rate source blend

Set how much each connected market-rate feed, such as DAT, weighs into the blended benchmark. Only feeds switched on in Integrations appear. If the weights don't add up to 100%, click Normalize to 100% to keep the blend proportional.

10 · Custom rules

Click Add rule to add an IF / THEN exception on top of the settings above. Build the IF from a field, an operator and a value, add more with + And condition, then choose what happens — for example "If Customer is ABC Foods and Lane distance (mi) > 500 → Add margin % 15%", or "If Carrier cost ($) > 3000 → Require approval". Rules are evaluated top to bottom.

11 · Check and save

Click See the impact to read what the strategy does to a quote — the margins a bid gets, when a human checks and your custom rules in order — then click Save strategy.
