Work a Freight Audit case — from the list to a decision
Open a case from the Freight Audit list, read the AI's working, compare billed and rated charges line by line, and short-pay, share or close it.
Open the case from the list
On the Freight Audit list, click a freight bill. The case page opens on the Audit tab. Use the back arrow to return to the list, or Next to move to the following case.
Read the header and summary cards
The header shows the bill number, its status (Open) and side (Carrier side), the carrier and load, and tags for the mode and distance (TL, RFG, 2,102 mi). Five cards sum up the case.
- Billed (actual) — What the carrier's freight bill asks for: $5,111.99.
- Expected — The cost from the 3G load. A value near zero (here -$0.78) usually means the expected cost wasn't loaded properly, so check the charge tables before trusting the variance.
- Variance — Billed minus expected, and the % over expected.
- Suggested code — The reason code KnowDoc recommends: CFSC, Fuel Surcharge Discrepancy.
- First seen — When the case was first flagged.
Read the AI Recommendation
The recommendation says in one sentence what's wrong and what to do: here, the carrier billed fuel at $0.72/mi instead of 3G's $0.66/mi, so short-pay the invoice. Copy puts it on your clipboard for an email or note.
Open Details to check the working
Click Details to see how the AI got there, in three parts.
- How the bill adds up — Each billed line building to the total: freight $3,089.94 + lumper $508.61 + fuel $1,513.44 = $5,111.99, plus per-mile rates.
- What 3G rated — The expected total: $4,985.09 (freight $3,089.40 + fuel $1,387.08 + lumper $508.61).
- Why the bill is higher — The difference by line: freight +$0.54, fuel +$126.36 (49.0% vs 44.9% of freight).
Confirm or correct the suggested code
Below the details, the suggested code is shown again (CFSC — Fuel Surcharge Discrepancy). If it's wrong, click Add feedback so KnowDoc learns from it. The line underneath tells you whether 3G already has a reason code or review note for this load.
Add an internal note
Notes are internal and not shared with the carrier. Write what you found and what you decided, for example "Short-pay $126.36 and ask C.H. Robinson to rebill", then click Add note.
Compare the charges line by line
Totals shows 3G expected, Carrier billed and the Variance side by side. Charge Breakdown puts the Carrier billed table next to the 3G rated / expected table, with code, net, gross and details for every line. In the walkthrough freight and lumper match, and the fuel lines differ ($1,513.44 billed vs $1,387.08 rated). Use Edit billed costs or Edit load costs if a line is wrong, and check 3G change history for earlier edits.
Decide and move on
Use the buttons at the top right: Mark shared with carrier once you've sent it to them, Mark In Progress while you wait for a rebill or short-pay, Close Case when it's resolved, and Next to open the following case. The icons beside them open the conversation, the share link and email.
