Mark a case In Progress or close it — and write the reason to 3G

Move an audit case on with a failure code and a review note that KnowDoc writes onto the 3G freight bill, using AI to draft the note.

Mark In Progress and Close Case are the two buttons that move an audit case along. Both open a short panel that writes a failure code and a review note onto the 3G freight bill, so the reason stays with the bill and not just the case. Close Case also closes the case. The walkthrough takes bill 6246585626 from Open to In Progress to Closed.

Open the case

On the Freight Audit list, open a freight bill. The status next to the bill number shows where it stands (Open in the walkthrough). Mark In Progress and Close Case are at the top right.

Click Mark In Progress

Use this when you've decided what's wrong but are waiting on something, such as a corrected invoice or a short-pay going through. The panel shows Billed, Expected and Variance at the top, and tells you whether 3G already has a reason code or review note for this bill.

Set the failure code

Failure code is optional and pre-filled with the suggested code (CFSC — Fuel Surcharge Discrepancy here). Change it from the list if the audit found something else.

Write the review note

The note should be one sentence giving the root cause of the billing issue. Click Use AI note to have KnowDoc write it from the audit finding.

  • Use AI note — Fills in the note from the finding, e.g. fuel billed at 49.0% of freight vs the contracted 44.9%.
  • Ask AI to rewrite — Type an instruction such as "shorter" or "mention FSC" and click Generate to rewrite the note.

Confirm

Click Mark In Progress. The case status changes to In Progress, and the failure code and note are written to the 3G freight bill in the background, so you can carry on working straight away.

Close the case when it's resolved

Click Close Case. The panel is the same, but the review note is the one written to the 3G freight bill when the case closes, so record the outcome, for example "Short-paid $126.90 to match the 3G rate of $4,985.09". Click Confirm & Close. The case moves to the Closed tab, and Next takes you to the following case.
